Terms and conditions
The terms “SunFire Travel Group,” “we,” “us,” and “our” refer to SunFire Travel Group LLC. The terms “traveler,” “client,” “participant,” and “you” refer to the person booking, registering for, making payments toward, or participating in a trip organized or facilitated by SunFire Travel Group.
Booking & Reservations
All reservations are subject to availability and are not considered confirmed until the required deposit and registration information have been received and accepted. SunFire Travel Group reserves the right to decline any reservation request at its sole discretion.
Payment Plans
Payment plans may be offered for select trips. Travelers are responsible for making payments according to the payment schedule associated with their specific trip.
Deposit amounts, payment schedules, final payment dates, cancellation deadlines, late payment fees, reinstatement fees, and other trip-specific policies may vary by trip and will be disclosed on the applicable booking page at the time of booking.
Cancellation Policy
Unless otherwise stated on the applicable trip booking page or in writing by SunFire Travel Group, all deposits and payments are non-refundable and non-transferable due to contractual commitments made on behalf of travelers.
No refunds will be issued for traveler cancellations, missed flights, missed tours or excursions, late arrivals, early departures, unused hotel nights, unused transportation services, voluntary withdrawal from any portion of a trip, or failure to obtain required travel documentation.
Any cancellation penalties imposed by suppliers are the responsibility of the traveler.
Trip-specific cancellation policies, payment deadlines, supplier penalties, and refund terms may vary and will be disclosed on the applicable booking page and/or registration documents at the time of booking.
Travel Insurance
Travel protection insurance is not included and is strongly recommended.
Travelers are responsible for obtaining any desired coverage for trip cancellation, trip interruption, medical expenses, emergency evacuation, baggage loss, travel delays, and other travel-related risks.
SunFire Travel Group is not an insurance provider and does not guarantee coverage, benefits, claim approval, or reimbursement under any travel insurance policy.
Travelers understand that travel insurance policies contain exclusions, limitations, and conditions that vary by provider and plan. Coverage decisions are made solely by the insurance company in accordance with the terms of the policy purchased.
SunFire Travel Group shall not be responsible for any financial loss resulting from a traveler’s decision not to purchase travel insurance, insufficient coverage, policy exclusions, denied claims, supplier penalties, cancellation fees, or other losses that may otherwise have been covered by insurance.
Travelers are encouraged to purchase travel insurance promptly after making their initial trip deposit.
Supplier Responsibility & Limitation of Liability
SunFire Travel Group acts solely as an agent for the suppliers providing travel services and products associated with your trip, including but not limited to airlines, hotels, resorts, cruise lines, transportation companies, sightseeing operators, tour providers, car rental companies, and entertainment providers (“Suppliers”).
Excursions, tours, activities, transportation services, sightseeing experiences, entertainment venues, restaurants, water sports, adventure activities, and other travel-related services may be provided by independent third-party suppliers. SunFire Travel Group does not own, operate, supervise, inspect, control, or manage such suppliers and is not responsible for their acts, omissions, services, personnel, equipment, operations, licensing, insurance coverage, or compliance with applicable laws and regulations.
Traveler acknowledges that participation in travel activities may involve inherent risks, including but not limited to personal injury, illness, death, property damage, accidents, transportation incidents, criminal acts, weather-related events, equipment failures, and other unforeseen circumstances. By participating in such activities, Traveler voluntarily assumes all risks associated with participation and agrees that SunFire Travel Group shall not be liable for any injury, loss, damage, expense, delay, inconvenience, or claim arising from the acts, omissions, negligence, or conduct of any independent third-party supplier.
SunFire Travel Group does not own, operate, manage, or control these Suppliers and is not responsible for their acts, omissions, negligence, defaults, delays, cancellations, schedule changes, service failures, bankruptcy, insolvency, or any other actions beyond our control.
SunFire Travel Group assumes no responsibility or liability for personal injury, illness, death, property damage, financial loss, inconvenience, delay, or other damages arising from:
• Any act or omission of a Supplier
• A Supplier’s failure to provide services as advertised or scheduled
• Mechanical failures or defects involving aircraft, vehicles, vessels, equipment, or other transportation or service providers
• Flight delays, cancellations, missed connections, or schedule changes that result in missed portions of a trip
• Weather events, natural disasters, government actions, labor disputes, civil unrest, transportation disruptions, supplier insolvency, epidemics, pandemics, or other circumstances beyond our control
SunFire Travel Group is not responsible for airline schedule changes, airline seat assignments, flight delays, flight cancellations, aircraft substitutions, or similar airline-related changes.
Hotel room requests, bedding requests, room locations, adjoining rooms, and other accommodation preferences are requests only and are never guaranteed.
Supplier prices, taxes, fees, fuel surcharges, and government-imposed charges are subject to change until travel is completed. Travelers are responsible for any such increases imposed by suppliers or governmental authorities after booking.
SunFire Travel Group does not provide refunds, credits, or compensation for supplier price reductions that may occur after a reservation has been confirmed, paid in full, or ticketed.
All suppliers maintain their own terms and conditions, cancellation policies, refund policies, and travel requirements. By booking travel through SunFire Travel Group, you agree to be bound by the terms and conditions of the applicable suppliers.
All prices, itineraries, accommodations, activities, transportation arrangements, and travel schedules are subject to change without notice due to supplier requirements, operational needs, availability, weather conditions, governmental actions, or circumstances beyond the control of SunFire Travel Group.
Passport, Visa & Entry Requirements
SunFire Travel Group does not maintain special knowledge regarding health hazards, safety concerns, weather conditions, political conditions, labor disputes, civil unrest, or other destination-specific risks.
Travelers are encouraged to review current travel advisories and destination information through the U.S. Department of State at travel.state.gov and the Centers for Disease Control and Prevention (CDC) at cdc.gov/travel.
Travelers are responsible for verifying all entry requirements, including passport validity, visa requirements, vaccination requirements, and any other documentation required for travel.
Many destinations require passports to be valid for at least six (6) months beyond the date of return.
Failure to meet entry requirements or obtain proper travel documentation shall not constitute grounds for a refund.
Travelers are responsible for complying with all laws, regulations, health requirements, safety requirements, security measures, and entry requirements of the destinations visited.
Information provided by SunFire Travel Group regarding passports, visas, entry requirements, health requirements, or travel advisories is provided as a courtesy only. Travelers remain solely responsible for independently verifying all requirements with the appropriate authorities.
Traveler Responsibilities & Conduct
Travelers are expected to follow the instructions of tour guides, local representatives, transportation providers, suppliers, and SunFire Travel Group representatives when such instructions relate to safety, logistics, or the operation of the trip.
SunFire Travel Group reserves the right to refuse participation or remove any traveler from all or part of a trip if, in our sole judgment, the traveler’s behavior, conduct, condition, or actions are disruptive, unsafe, abusive, unlawful, offensive, or interfere with the enjoyment, safety, or experience of other travelers or the operation of the trip.
Any traveler removed from a trip for behavioral reasons shall not be entitled to a refund.
No refunds will be provided for missed tours, skipped activities, unused accommodations, unused transportation, voluntary withdrawal from activities, or any portion of a trip not utilized by the traveler.
SunFire Travel Group is not responsible for the actions, conduct, behavior, or omissions of other travelers participating in a trip.
Travelers agree to release, indemnify, and hold harmless SunFire Travel Group, its owners, employees, contractors, agents, and representatives from any claims, damages, liabilities, losses, costs, or expenses arising from the traveler’s own actions, omissions, negligence, or failure to comply with these Terms & Conditions.
Travelers are solely responsible for exercising reasonable judgment and taking appropriate precautions during travel. Participation in excursions, activities, events, transportation services, nightlife activities, water sports, adventure activities, and other travel-related experiences is voluntary and undertaken at the traveler’s own risk. Travelers are responsible for evaluating whether any activity is appropriate for their individual health, physical condition, abilities, and personal circumstances.
SunFire Travel Group, its owners, employees, contractors, hosts, trip leaders, and representatives are not responsible for supervising, monitoring, controlling, or ensuring the conduct, actions, safety, or well-being of travelers during any portion of a trip. Travelers remain solely responsible for their own decisions, actions, personal safety, health, belongings, and participation in any activities during travel.
Roommate Responsibility
Travelers selecting double occupancy are responsible for securing their own roommate unless otherwise specified. SunFire Travel Group is not responsible for roommate disputes, cancellations, payment defaults, personality conflicts, schedule changes, or occupancy changes.
If a roommate cancels, fails to make required payments, is removed from the reservation, or otherwise becomes unavailable, the remaining traveler may be responsible for any additional costs associated with converting the reservation to single occupancy or securing alternative accommodations.
SunFire Travel Group is not responsible for collecting payments from, mediating disputes between, or enforcing agreements between roommates.
Electronic Communications
Travelers are responsible for providing accurate contact information and for monitoring the email address used during registration.
SunFire Travel Group communicates important trip information, payment reminders, travel documents, itinerary updates, schedule changes, cancellation notices, and other travel-related information primarily by email.
Travelers are responsible for checking their inbox, spam, junk, promotions, and other email folders to ensure receipt of communications.
SunFire Travel Group shall not be responsible for missed communications resulting from incorrect contact information, spam filters, full mailboxes, failure to review email communications, or other circumstances beyond our control.
Photography, Video & Marketing Release
By participating in a SunFire Travel Group trip, event, or travel experience, you grant SunFire Travel Group a worldwide, perpetual, royalty-free right to use photographs, videos, audio recordings, testimonials, social media content, and other media containing your likeness for promotional, marketing, advertising, educational, and business purposes.
Such use may include websites, social media platforms, email marketing, printed materials, advertisements, and promotional campaigns. No compensation shall be owed for such use.
Privacy
SunFire Travel Group respects your privacy. Personal information collected during the booking process may be used to arrange travel services, communicate trip updates, process payments, comply with supplier requirements, and provide customer service.
SunFire Travel Group does not sell or rent personal information to third parties. Information may be shared with travel suppliers and service providers only as necessary to facilitate travel arrangements and related services.
By booking with SunFire Travel Group, you consent to the collection and use of your information as described herein.
Travel Risks, Government Restrictions & Force Majeure
Travel involves risks that are beyond the control of SunFire Travel Group, including but not limited to acts of God, hurricanes, storms, floods, earthquakes, wildfires, pandemics, epidemics, disease outbreaks, government actions, travel advisories, border closures, immigration restrictions, acts of war, armed conflict, military actions, airstrikes, terrorism, civil unrest, political instability, labor disputes, transportation disruptions, supplier insolvency, and other unforeseen circumstances.
By booking travel, travelers acknowledge these risks and voluntarily assume responsibility for their decision to travel.
SunFire Travel Group shall not be liable for any losses, injuries, illnesses, delays, cancellations, denied boarding, denied entry, travel interruptions, additional expenses, supplier penalties, government restrictions, or other consequences arising from events beyond our control.
Travelers understand that airlines, hotels, cruise lines, tour operators, destinations, and governmental authorities may impose requirements, restrictions, screening procedures, health protocols, documentation requirements, or operational changes before or during travel.
SunFire Travel Group shall not be responsible for any financial loss, penalties, fees, supplier charges, cancellation costs, or travel disruptions resulting from such restrictions or changes.
Travelers are solely responsible for obtaining and paying for any medical treatment, hospitalization, emergency transportation, evacuation, repatriation, prescriptions, or other medical services that may become necessary during travel. SunFire Travel Group assumes no responsibility for arranging, providing, supervising, or paying for such services. Any assistance provided by SunFire Travel Group or its representatives in obtaining medical care shall be provided solely as a courtesy and shall not create any liability or responsibility on the part of SunFire Travel Group.
Payment Authorization, Chargebacks & Payment Disputes
By submitting a deposit, making a payment, enrolling in a payment plan, clicking an acceptance checkbox, registering for a trip, or otherwise authorizing payment to SunFire Travel Group, you acknowledge and agree that the charge is authorized and corresponds to travel services requested by you.
You acknowledge that deposits, payments, cancellation policies, and trip-specific terms are disclosed on the applicable booking page and/or registration documents at the time of booking.
You certify that you are an authorized user of the payment method used and that all payment information provided is accurate.
You agree not to initiate a credit card dispute, chargeback, bank reversal, or similar payment dispute for charges that are consistent with the terms, policies, and services agreed to at the time of booking.
Initiation of a chargeback, payment dispute, or bank reversal may result in suspension or cancellation of current and future travel arrangements pending resolution of the dispute.
If a payment dispute, chargeback, or reversal is determined to be unfounded, fraudulent, or inconsistent with the agreed-upon terms, the traveler may be held responsible for reasonable costs incurred in recovering the funds, including collection costs, administrative expenses, court costs, and attorney fees where permitted by law.
Acceptance of these Terms & Conditions constitutes authorization for SunFire Travel Group to rely upon electronic records, booking records, payment history, communications, IP logs and digital acknowledgments as evidence of agreement to the transaction and associated policies.
Errors & Omissions
SunFire Travel Group reserves the right to correct any typographical errors, pricing errors, supplier errors, omissions, inaccuracies, or misprints appearing on websites, booking pages, invoices, itineraries, marketing materials, social media content, emails, or other communications at any time.
SunFire Travel Group shall not be responsible for errors, omissions, or inaccurate information provided by third-party suppliers and reserves the right to make corrections when such errors are identified.
Governing Law, Venue & Attorney Fees
These Terms & Conditions and any dispute arising from or relating to any trip, booking, payment, travel service, or relationship with SunFire Travel Group shall be governed by and construed in accordance with the laws of the State of Illinois, without regard to conflict of law principles.
Any legal action arising out of or relating to these Terms & Conditions or any travel services provided by SunFire Travel Group shall be brought exclusively in the state or federal courts located within the State of Illinois, and the traveler consents to the jurisdiction and venue of such courts.
In the event SunFire Travel Group prevails in any action to enforce these Terms & Conditions or collect amounts owed, SunFire Travel Group shall be entitled to recover its reasonable attorney fees, court costs, collection costs, and related expenses to the fullest extent permitted by law.
Acceptance of Terms
By registering for a trip, submitting a deposit, making a payment, signing a registration form, accepting an itinerary, checking an acknowledgment box, or otherwise participating in a SunFire Travel Group travel experience, you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions.
You further agree to release, waive, and discharge SunFire Travel Group, its owners, employees, contractors, agents, and representatives from any claims, liabilities, damages, losses, costs, or expenses arising from matters expressly addressed within these Terms & Conditions.
These Terms & Conditions constitute the entire agreement between the traveler and SunFire Travel Group and supersede any prior verbal or written communications relating to the matters addressed herein.
If there is any conflict between these Terms & Conditions, a trip booking page, registration form, itinerary, supplier terms, or other travel documents, these Terms & Conditions shall govern unless otherwise stated in writing by SunFire Travel Group.
Terms Subject to Change
SunFire Travel Group reserves the right to update, modify, revise, or replace these Terms & Conditions at any time without prior notice. Continued use of our services, submission of payments, or participation in travel arrangements constitutes acceptance of any such modifications.
